How do I schedule and run tutoring sessions in TutorKit?

Tutoring sessions can be scheduled by Administrators and Tutors as one-off sessions or as sessions that repeat Daily, Weekly, or Monthly.

To make sure you aren't scheduled for sessions you can't make, you can set up Availability dates and times in Edit settings.

Schedule tutoring sessions

To schedule tutoring sessions:

  1. Click Add sessions.
  1. Provide a Session name and session Description.
  2. If you tutor for multiple Communities in your site, select the relevant Community.
  3. Add the relevant Tags from the three categories (Program, Topic, Grade level).
  4. Attach Resources and Exit resources.
    • Resources are made available to students before a session starts.
      • Check the Automatically show resources that match topic and grade level to make available all resources that are tagged with the same tags you added above.
    • Exit resources are made available to students when they leave a session.
  5. The session's Schedule, including:
    • Start date and time.
    • Session length (in hours or minutes)
    • Use the Scheduling assistant to review availability and adjust times.
  6. Recurring session times in the Repeat section for sessions that you want to occur Weekly, Daily, or Monthly.
  7. Which Tutors and Students you want in Attendance.
    • When assigning tutors, click Find by tags to see which tutor tags match the session tags you added above.
    • Check the Only invited students can attend box to limit the session to only invited students, otherwise any student in the site can join.
  8. Save.

All invited Tutors and Students are sent an email invitation with a link to view the session.

The newly created Session is added to your Sessions calendar and to the Students you added. They can click it to see the session.

The Session is also added to everyone's Dashboard. From there, invitees can rsvp and click to join the session when it's time.

Use the Scheduling assistant

Use the Scheduling assistant to quickly review and adjust tutoring session schedules to meet participant availability.

  1. If you try to schedule a session during times that invited Tutors or Students are unavailable, TutorKit alerts you.
  2. Open the Scheduling assistant to get more details.
  1. You can review invitee availability and adjust the schedule using the Start date, Time, and Duration fields or by using the mouse to drag, drop, and adjust duration.

Start and run tutoring sessions

When it's time to for a tutoring session, it appears in your Active sessions.

  1. Click on the session to open it.
  1. In the Warmup room, you can see the details of the session, including whether other participants have joined.
  2. Click the Start meeting button that appears when students enter the waiting room.
    • Note: This automatically uses the video Meeting URL you provided in your Settings.
  1. Conduct the session.

Leave feedback and review session history and details

When a session ends:

  1. Leave feedback for the student.
  2. Record Private feedback for your notes.
  3. End meeting.

You can review past sessions using View meeting history.
